The successful candidate will be providing administrative support to a highly successful sales team. This position requires exceptional interpersonal skills, strong written and oral communication skills, analytical skills, organizational and planning skills and the ability to function effectively with minimal direction.

 

Essential Duties and Key Responsibilities

 

  • Performs administrative duties such as conducting research, updating and maintaining databases, preparing company forms and maintaining confidential files.
  • Responsible for processing and coding invoices for payment as well as assist employees in processing expense reports.  Responsible for tracking real estate marketing expenses related to listings.

  • Assists brokers with word processing (formatting and editing MS Word documents), creates and initiates correspondence and memoranda; compiles and prepares data for administrative reports and presentations.

  • Carries out special projects and assignments as requested.

  • May be responsible for coordination/planning and execution of special events and conferences for client, department and/or office events.

  • Assists or coordinates services for outbound mail – personalized mail and neighborhood mail.

  • Answers phone calls with regards to inquiries, researching and resolving problems requiring knowledge of department policies and procedures.

  • Administers the department/business unit record keeping system; updates various department/business unit records and publications; ensures that department/business unit files are maintained in accordance with company policies and procedures; reviews requests for information and determines the appropriateness of release.

  • Provides Reception relief to cover vacations and as the business requires.

  • Other duties may be assigned.

 


Education and Experience


  • Post-secondary education is required; 1–3 years’ experience in a professional work environment would be an asset.

  • Excellent written/verbal communication skills in addition to strong organizational and analytical skills

  • Ability to provide efficient, timely, reliable and courteous service to clients and Team members.

  • Ability to Multi-Task Results orientation with strong technical/analytical skills.

  • Strong service orientation with attention to detail. Makes decisions within established criteria and known processes.

  • Ability to work independently on projects, from conception to completion

  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with strong attention to detail

  • Strong inter-personal skills

  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands and demonstrate the highest level of customer service and response

  • Proven ability to work as a self-motivated individual and in a team environment

  • Extensive experience using Microsoft Office products
